Billing & Insurance
We are committed to providing the best possible care and service to you, and appreciate your understanding of your financial responsibilities as an essential part of your child’s care. If you have any questions concerning these policies, please contact our office.
Your Responsibilities
- To know the limits and coverage of your particular health insurance policy.
- To show your insurance cards to us at each visit.
- To pay any copays or deductibles at the time of service.
- To provide updated address, phone numbers, and insurance information to our office.
Our billing staff will do their best to assist you with insurance questions; however, if you have questions about your coverage, it is best to check with your specific insurance company. We are happy to give you any information that will help you do this, and can share the estimated charges with you ahead of time.
Copayments & Deductibles
Payment is required at the time of service. While the filing of insurance claims is a courtesy that we extend to our patients, all charges not covered by your insurance company are your responsibility.
Payment Methods
We accept cash, debit cards, Visa, MasterCard, Discover, Amex. We do not accept checks.
Self Pay/Private Pay
Self/private pay patients are expected to pay in full at each appointment, and are given a discount at the time of service.
Billing Questions
PedsOne, our contracted billing company, may contact you at any of the numbers provided by you in an attempt to resolve any outstanding balances. All questions regarding visit-based billing can be answered by PedsOne at 866-371-6118.

Office Visit Policies
We require an appointment for your child to be seen.
Mutual Respect of Time
Our providers strive to stay on schedule. Although there can be emergency situations that prevent us from running on time, we pledge to provide quality care with minimal wait time to the best of our ability.
To respect your time, we make the following requests:
- Arrive early or on time for your appointments. If you arrive 10 or more minutes late, you will be asked to reschedule.
- If you plan on having additional children seen at your appointment, please let us know in advance so we can better accommodate your family.
- If you are running late, please call the office. We may be able to accommodate you with advance notice.
- We require 24 hours notice for cancellations, otherwise a fee of $35 must be paid before rescheduling.
- Three (3) “no show” appointments without notice from you in one year may result in dismissal from our practice. New patients who “no show” without notice to their first appointment may not be scheduled for additional appointments.
Mutual Respect of Office Staff
Limestone Pediatrics values our staff members and the pleasant work environment we have created. We will not allow mistreatment of our staff or providers by patients or their parents, and we are committed to treating our patients and their families with the same respect we are requesting.
Well-Child Exams & Screenings
Routine well-child exams allow us to monitor for growth, developmental, behavioral and academic issues so that we can identify them early, intervene, and treat them effectively. Per the American Academy of Pediatrics, children should receive preventative care on this schedule. We expect parents to follow these guidelines so that we can provide quality healthcare to our patients.
We perform recommended screenings based on the patient’s age to detect any conditions that may need treatment. Most insurance plans cover these screenings and costs; however, their policies vary. It is your responsibility to understand which screening services are covered by your specific insurance plan.
Chronic Condition Follow-Ups
Chronic medical conditions such as ADHD, asthma, depression, and anxiety require frequent follow-up to ensure the best care possible for your child. Patients with ADHD need follow-up every 3-4 months once they are stable on their medication. Other chronic medical conditions need follow-up every 3-6 months once stable depending on the child’s care plan. Medications may not be refilled unless patients keep their follow up appointments.
Medication Refills
Please call the office 1 week prior to running out of a prescribed medication. Patients must be up-to-date on their well check exams/med check visits in order for prescriptions to be refilled without the patient being seen in the office. Please allow 2 business days for these to be processed.
If requesting a refill for an ADHD medication (controlled substances) we must have the patient’s Social Security number on file. By law in the state of KY, we are required to obtain a KASPER before these medications can be prescribed or refilled.
After-Hours Care
If your child’s illness or injury is life threatening, dial 911.
Phone Triage
For urgent matters that cannot wait until business hours, we offer a telephone triage consultation service that puts you in touch with a pediatric trained triage nurse. Call our office and follow the prompts.
- Families will be charged $16 for each triage call made.
- There are exceptions for advice given for infants less than 90 days old or where recommendations are given to immediately be seen by a healthcare provider.
- If a provider speaks with a parent directly after-hours or on the weekend, the call will be billed to your health insurance.
Weekends and After-Hours Visits
There is an additional fee for appointments on late evenings, weekends, and holidays that may or may not be covered by your insurance. Any unpaid charges will be your responsibility.

Vaccines save lives.
Vaccinations are safe and effective in preventing diseases and health complications in children and adults. Limestone Pediatrics requires that all patients are immunized according to the current vaccine schedule recommended by the American Academy of Pediatrics and CDC.
- To protect our patients, we do not accept families who don’t vaccinate their children.
- Although recommended, covid and flu vaccines are not part of this requirement.
- If families have any questions about vaccines, they can speak directly with one of our providers.
- If your family ultimately chooses not to vaccinate, we will ask you to find a clinic that better aligns with your wishes for your child.
- Vaccines given to all patients at our office are inputted into the KYIR (Kentucky immunization registry) system, a service of the Kentucky Department for Public Health that allows individuals, parents and legal guardians to access official immunization records.
